
1. Deposit/Retainer and Payments
Securing Your Booking:
By signing this agreement, you authorize the chosen payment method for the full amount of and/or a 50% retainer/deposit. This payment secures your booking and event date, along with any rentals included in your invoice.
Deposit/Retainer Policy:
Please note that this payment, whether paid in full or 50% of total, is your retainer/deposit to secure your booking and is non-refundable.
However, you may be able to transfer it to a new date within 12 months of your original event date, subject to availability. ***Please see Section 3. For more information on this.
2. Adding Rentals Close to Your Event Date
We understand that party planning can be dynamic! If you need to add rental items or services to your order, here's what to know:
2.1 Last-Minute Additions (within 14 days of event):
To secure these additions (subject to availability), full payment will be required immediately.
If payment isn't received, we'll proceed with your event without the last-minute additions.
2.2 Adding Rentals in Advance (14+ days before event):
You can secure your additions with a 50% deposit or full payment (subject to availability)
3. Rescheduling requests / Cancellations
3.1 - Changes to Your Booking:
We understand that things can come up, so we allow you to reschedule your event/booking with us.
To avoid a rescheduling fee, please notify PartyAfterParty at least 30 days before your original event date.
3.2 - Rescheduling Fee:
If you need to reschedule within 30 days of your event, a $150 rescheduling fee applies.
This fee must be paid at the time you notify us and before 14 days of your original event date.
Failure to pay the fee by this deadline will require you to make a new deposit or full payment for a new date, at PartyAfterParty's discretion.
3.3 - Transferring Your Payment:
The deposit or full payment you originally made can be applied to a new date within 12 months of your current event date.
This is only possible if the new date is available and not already booked.
If your preferred date is unavailable, we will help you find another date within the 12-month window.
3.4 - Cancelling your event:
We understand that plans can change. However, please be aware of our cancellation policy to avoid any fees or restrictions.
If you choose to cancel your event/booking, your initial deposit (50% or full payment) is non-refundable.
Cancellations made within 14 days of your event date will still require full payment for the event before the original date.
4. PartyAfterParty Damage Protection Plan
4.1 - Protect Your Rental and Have Peace of Mind
We offer a Damage Protection Plan to help ensure a stress-free rental experience for you. This plan covers accidental damage to our equipment, giving you peace of mind while you celebrate.
4.2 - How it Works:
The Damage Protection Plan costs 10% of your pre-tax rental cost and will be automatically added to your contract unless you decline it before pickup or delivery.
4.3 - What's Covered:
The plan covers the first $100 of any accidental breakage or damage to our equipment.
It also covers 50% of any additional repair or replacement costs, with you being responsible for the remaining 50%.
4.4 - What's Not Covered:
Lost or stolen equipment
Vandalism
Damage from improper transport (not securing items, overloading)
Motor or electronic damage caused by improper power supply
Overturning of equipment
Weather damage (rain, wind, etc)
Damage to sub-rented items or specialty linens
4.5 - Declining the Plan:
If you choose to decline the Damage Protection Plan, you will be fully responsible for the full retail replacement cost of any damaged equipment.
4.6 - We're Here to Help:

5. Equipment Responsibility and Damage
5.1 - You are responsible for all rented equipment. This applies even if you rent the equipment on behalf of someone else (the "third party"). The renter on file is ultimately responsible for:
Ensuring the safe return of all rental items to PartyAfterParty at 477 Wales Ave.
Any damage to the equipment during the rental period.
5.2 - Damage Charges:
The "Max. Damage/Rental item replacement cost" listed on your order reflects the maximum charge for replacing a damaged item entirely.
If the equipment is damaged beyond repair, you will receive an invoice for the full replacement cost.
For minor, repairable damages (e.g., missing light bulbs, minor wire damage) you will be invoiced for the repair cost. You are responsible for all these charges.
Payment for damages is due within 30 days of your event date.
5.3 - Consequences of Non-Compliance:
Failure to comply with these damage terms may result in:
Inability to rent from PartyAfterParty in the future.
Debt collection for outstanding balances.
5.4 - Examples of Damage (not exhaustive):
Theft
Vandalism
Damage caused by improper transport (not securing items, overloading)
Motor or electronic damage from improper power supply
Overturning of equipment
Weather damage
Damage caused by sub-rentals or third parties
Lost equipment
Damage caused by adhesives
5.5 - Flower Wall Damage Costs
Please note that this information applies only to flower wall rentals.
In case of damage to a single flower panel (measuring 24" x 17"), you will be responsible for a replacement cost of $50.00 for that specific panel.
If multiple flower panels are damaged, the replacement cost will reflect the number of damaged panels. For example, two damaged panels would incur a $100.00 replacement fee.
5.6 - Lost or Damaged Accessories:
Please note that missing, lost, or broken rental accessories (such as weights or extension cords) will incur a replacement fee based on PartyAfterParty's replacement cost.
5.7 - Prohibited Items:
To protect our rental items, the following are strictly prohibited for use on backdrops, flower walls, marquee letters/numbers, and all other rentals:
Tape (including duct tape)
Hot glue
Any adhesive that isn't a 3M Command Strip
5.8 - Hanging Instructions:
Hanging signs or decorations on rental items requires prior permission from PartyAfterParty. We may offer hanging services for an additional fee.
Never drill, screw, nail, or use thumbtacks on rental items. This will result in additional damage charges.
For securing decorations to marquee letters or numbers, avoid tying anything directly to the wiring or bulbs.
5.9 - Recommended Hanging Method:
We recommend using only 3M Command Strips or green painter's tape on all rental items. These are available for purchase from us or most local stores.
Please be aware that even 3M Command Strips can cause minor damage (like paint peeling) if used incorrectly. You may still be responsible for these damages.
6.Scheduling Changes for Pick-Up, Return, Set-Up, and Tear-Down
6.1 - Need to adjust your scheduled times?
We understand that plans can change. If you need to modify your pick-up, return, set-up, or tear-down times, please contact PartyAfterParty as soon as possible.
Please note: There may be additional fees for last-minute changes.
Confirmation: Once we receive your request, we will review availability and confirm the feasibility of the new times. We will then countersign the agreement and send you a copy for your records.
7. Rental Period and Scheduling:
This section applies to all rental/service types: Self pick up + Return and Delivery/Install provided by PartyAfterParty.
7.1 - Rental Period:
Our standard rental period spans a maximum of 48 hours. Anything over 48 hour rental period will result in additional fees.
8. Easy Appointment Scheduling for Pick-Up and Return
This section is only relevant if Client/Renter opts for Self pick up and services for rentals/services in this agreement.
8.1 - Guaranteed Smoothness:
To ensure a seamless experience, both pick-up and return of your rentals require scheduling an appointment. This allows us to provide you with personalized service and have everything ready for your arrival.
8.2 - Scheduling Your Times:
Once your booking is officially confirmed, we will promptly forward you a comprehensive rental agreement/contract. It's crucial that you review this agreement attentively and complete any necessary sections, such as specifying your preferred pickup and return times.
9. On-Time Pick-Up and Returns
This section is only relevant if Client/Renter opts for Self pick up and services for rentals/services in this agreement.
9.1 - Respecting Your Time:
We understand your time is valuable. As stated in the rental agreement, a 15-minute grace period is provided for both pick-up and return times. Late arrivals beyond this grace period may incur a late fee.
9.2 - Efficient Service:
Since we operate from a private residence, appointments ensure we have someone available to assist you efficiently during pick-up and return. This allows us to provide personalized service and answer any questions you may have.
9.3 - Open Communication:
Please don't hesitate to contact us if you have any questions or require further clarification regarding the rental agreement, pickup, or return process. We're committed to making your experience flawless from start to finish.
9.4 - Being On Time:
To ensure a smooth experience, you are responsible for picking up/returning your rental items at the designated time on this agreement/contract.
9.5 - Changes to Your Pick-Up Time:
If you or your designated representative cannot arrive at the scheduled pick-up time, please notify PartyAfterParty as soon as possible. We will do our best to accommodate your request, but cannot guarantee changes based on availability.
9.6 - Changes to Your Return Time:
If you or your designated representative cannot arrive at the scheduled return time, please notify PartyAfterParty as soon as possible. We will do our best to accommodate your request, but cannot guarantee changes based on availability.
9.7 - Returning Your Rentals On Time
We understand that sometimes things can run behind schedule. However, to ensure everyone has access to the equipment they need, we kindly ask that you return your rental items by the agreed-upon date and time.
9.8 - Late Return Fees:
If you return your rentals after the scheduled return time without prior notification, a late fee of $50 will be applied.
To avoid late fees, please contact us as soon as possible if you anticipate a delay in returning your rentals. We will do our best to accommodate your request.
10. Pick-Up/Collection/Teardown by PartyAfterParty (if applicable):
This section is only relevant if PartyAfterParty offers pick-up/teardown services for rentals/services in this agreement.
10.1 - Missed Pick-Up Due to Venue Closure:
If your venue is closed before the agreed pick-up time and you haven't informed PartyAfterParty beforehand, you may be responsible for additional charges.
Late Fee: A late fee of $75 per day will be applied for each day the rental equipment is overdue beyond the agreed return/collection date and time.
Avoiding Late Fees: To avoid late fees, please contact us as soon as possible if you anticipate a delay in returning/collecting your rentals. We will do our best to work with you. PartyAfterParty reserves the right to make the final decision.
10.2 - Consequences of Non-Compliance
Chronic Late Returns: We reserve the right to refuse service to renters with a history of chronic late returns.
Debt Collection: Outstanding balances for rentals and late fees may be subject to debt collection procedures.
